Time Keeper

Keep track of session time and remind speakers.

Reports to: Program Team

Roles:

  • Communicate with the speakers and emcee about time limits and warning signs
  • Coordinate with the Program Team and ensure that talks start and end on time
  • Explain the signs you’ll show the speakers to indicate the time and show the ‘remaining time’ cards during their session
  • Make sure everything is conducted within the given timeframe.

Runner

Assist the Program Team in the room and run microphones.

Reports to: Program Team

Roles:

  • Coordinate and assist the Program Team with anything that might be needed in the room
  • Be ready to help with anything and everything, and be super speedy in resolving last-minute issues
  • Run microphones during Q&As

Speakers Support

Ensure speakers are supported on the conference day.

Reports to: Program Team

Roles:

  • Has comprehensive knowledge of the session and speaker schedule
  • Ensure that speakers arrive at the correct time
  • Coordinate between the speaker and the technical team and make sure that the speaker’s requirements are met
  • Check and assist the next speaker with their setup and anything they need

Registration Lead

Manage and monitor the overall registration process.

Reports to: Operations & Volunteer Team

Roles:

  • Guide Attendees to Registration desks and make sure that everyone is registered for the event
  • Keep track of attendees’ registration
  • Coordinate with the Volunteers and Organising team
  • Make sure you have good communication skills and are effective

Registration Support

Help everyone to check-in and information desk.

Reports to: Operations & Volunteer Team

Roles:

  • Provide information about the event
  • Assist attendees with their seating position and find the correct queues
  • Check all details in the tickets and hand out badges
  • Handle spot registration and payment process (if available)

Lunch Support

Provide necessary assistance to attendees regarding lunch.

Reports to: Operations & Volunteer Team

Roles:

  • Be familiar with the food station locations.
  • Assist attendees in finding their preferred food options, including Halal, Vegetarian, and other options.

Swag Station Support

Smooth and coordinated distribution of swag to the attendees.

Reports to: Operations & Volunteer Team

Roles:

  • Set up the swag table and keep it in good order
  • Check for swags and ensure their availability on tables
  • Hand out WordCamp Philippines swag to Attendees and keep track of the receivers

Accessibility Support

Reports to: AX Team

Roles:

  • Assist attendees with additional needs.
  • Be responsible for assisting people who might have disabilities or need assistance with using specific areas of the venue. You will need to know the specific areas that are wheelchair accessible (such as the elevator and the accessible access routes to each Track or Workshop).
  • This role does not have a limited scope, and you might be asked to assist volunteers with various types of accessibility needs related to moving around the venue.

Contributor Day Help Staff

Venue setup, direction guidance & tech help during the contribution day

Reports to: Contributor Day Team

Roles:

  • Help set up chairs, tables, and basic venue arrangements before the event
  • Welcome and assist Contributor Day participants upon arrival
  • Guide attendees to the correct teams, tables, or working groups
  • Support onboarding for new contributors (e.g., WordPress.org and Slack setup)
  • Help participants navigate and get started on https://make.wordpress.org
  • Answer basic questions or connect participants to the right person
  • Provide friendly, approachable, and welcoming support throughout the day
  • Help maintain flow, timing, and order during sessions
  • Assist fellow volunteers as needed and provide on-ground volunteer support during the event

Open Source Library Librarian

The Open Source Library Librarian is a volunteer facilitator for the Open Source Library — a community activity inspired by the Human Library concept, where people become “living books” and share real experiences in open source, WordPress, tech, freelancing, and community building.

The librarian helps welcome participants, guide conversations, and connect attendees with speakers or mentors for short one-on-one or small group discussions.

Reports to: Contributor Day Team

Roles:

  • Welcome and guide participants
  • Introduce attendees to “living books” or mentors
  • Help manage schedules, session flow, and timing
  • Match participants with topics or speakers of interest
  • Ensure conversations remain respectful and engaging
  • Encourage participation and a welcoming atmosphere

Sponsors Support

Ensure sponsors are supported on the conference day.

Reports to: Sponsors Team

Roles:

  • Check if sponsors need anything from the start to the end of the event.
  • Help resolve minor issues and reach out to the Sponsors Team for bigger issues
  • Ensure that any issue raised by Sponsors is addressed to the respective Lead

Content Creation

Reports to: Marketing and Comms Team

Roles:

  • Real-Time Event Coverage
  • Live-Tweeting Instagram & Facebook Stories
  • The “Hype” Capture: Filming quick, 10-second vertical video clips (Reels/TikTok style) of the venue layout, the swag tables, and the general buzz before the sessions start.

Emcee

Reports to: Program Team

Roles:

  • Keep the Crowd Engaged: Maintain a lively and enthusiastic atmosphere throughout the event.
  • Professionalism: Handle any situation with composure and grace.
  • Versatility: Adapt seamlessly to various segments and audiences.
  • Excellent Communication Skills: Deliver clear, concise, and captivating announcements and introductions.

Coordination and Logistics

Reports to: Venue Team

Roles:

  • Assists in ensuring the smooth flow of WordCamp activities by supporting on-site coordination, monitoring schedules, helping with room readiness, guiding attendees, and communicating with organizers, speakers, sponsors, and fellow volunteers.
  • The role also includes assisting with setup and breakdown activities, handling logistical concerns, and helping maintain an organized and efficient event environment throughout the program.

Signage and Directions

Reports to: Venue Team

Roles:

  • Supports the placement, monitoring, and maintenance of event signage and directional materials across the venue. 
  • Helps attendees navigate session rooms, registration areas, sponsor booths, comfort rooms, and activity spaces by providing clear guidance and assistance.
  • The role also includes checking signage visibility, updating directional materials when needed, and ensuring attendees have a smooth and hassle-free event experience.

Photographer

Role Description

The Photographer is responsible for capturing high-quality still images throughout the event. This role focuses on documenting the full WordCamp experience, including speakers, attendees, volunteers, sponsors, booths, networking moments, candid interactions, group photos, and the overall event atmosphere.

Photographers help preserve the visual story of the event. These photos may be used for website galleries, social media posts, press releases, sponsor reports, event recaps, and future promotions.

Introduction

As a Photographer Volunteer, you will help capture the emotions, connections, and meaningful moments that make WordCamp special. Your photos will allow the community to look back, celebrate, and remember the event.

Required Equipment

Volunteers are encouraged to bring:

  • DSLR or mirrorless camera
  • Standard zoom lens, such as 24-70mm or similar
  • Prime lens for portraits or low-light shots, if available
  • Telephoto lens for stage or speaker coverage, if available
  • Extra batteries and chargers
  • High-capacity memory cards
  • Camera bag
  • Lens cleaning kit
  • External flash or lighting accessories, if available
  • Laptop or external storage for backup, if available

Videographer

Role Description

The Videographer is responsible for capturing video footage during the event. This includes speaker sessions, attendee reactions, sponsor booths, community interactions, interviews, behind-the-scenes moments, venue shots, and event highlights.

Videographers provide the raw footage needed for recap videos, reels, promotional clips, interviews, and documentation. This role requires creativity, awareness, and attention to framing, lighting, movement, and audio.

Introduction

As a Videographer Volunteer, you will help capture the movement, energy, and atmosphere of WordCamp. Your footage will become part of the event’s media archive and may be used to create official event highlights and promotional materials.

Required Equipment

Volunteers are encouraged to bring:

  • DSLR / Mirrorless camera 
  • Extra batteries and chargers
  • High-capacity memory cards
  • Tripod, monopod, or gimbal, if available
  • External microphone or audio recorder, if available
  • Headphones or earphones for audio monitoring
  • Laptop or external storage for backup, if available

Video Editor

Role Description

The Video Editor is responsible for transforming raw event footage into polished and engaging content. This role focuses on post-production work such as recap videos, event highlights, speaker clips, social media videos, volunteer features, and promotional content.

Video Editors help shape the story of WordCamp by selecting the best moments, arranging clips, adding music, captions, transitions, text, and making sure the final output is clean, engaging, and aligned with the event branding.

Introduction

As a Video Editor Volunteer, you will help bring the event memories to life. Your work will allow attendees, speakers, sponsors, and the wider WordPress community to relive the event even after it ends.

Required Equipment

Volunteers are encouraged to bring:

  • Laptop or desktop suitable for video editing
  • Editing software such as DaVinci Resolve, Adobe Premiere Pro, Final Cut Pro, CapCut, or similar
  • Enough storage for large video files
  • External hard drive or cloud storage access, if available
  • Headphones or earphones for checking audio

AV Team volunteer roles are voluntary, and no monetary compensation is provided. Volunteers are kindly requested to use their own cameras, devices, and equipment for their assigned roles.

Applicants are encouraged to include a link to their online portfolio, sample work, gallery, social media page, or previous event coverage when applying. This will help the team better understand your creative style and experience.

FAQ


As one of the perks of being selected as a volunteer, we will provide every volunteer a complimentary ticket, but since tickets will be limited and the volunteer selection process will take some time, please purchase your ticket whenever the tickets are released, and if you are selected as a volunteer, your purchased ticket will be refunded.

After we receive your application, we will start the review process, and you should get an email if you are selected or rejected within 1 – 2 weeks after the deadline of the Call for Volunteers. So please check your email in a timely manner.
